Industry
Enterprise workflow (UOF e-approval)
What was built
An agent and skills that operate a UOF e-approval site
Where the knowledge came from
A snapshot of the company's UOF forms: fields, required items and options

Complex web forms

  • An employee paid in advance for a test server for a project, and needs to file an expense claim in UOF.
  • The employee does not want to open the complex UOF web pages, and asks the agent for help.

Forms that differ by company

  • UOF is a customised system. Every company's forms, fields and flows are different.
  • This demonstration project splits its skills into general UOF platform operations and each of the company's forms with its fields, required items and valid options.

Filing, release and confirmation

  • The agent works under the UOF account the user signed in with. Which forms it can create, view or sign depends on that account's permissions in UOF.
  • The agent never asks the user for a username or password. The user signs in on UOF's own sign-in page.
  • When the employee asks to claim an expense, the agent confirms the employee can create an expense claim, then asks for the amount, category, expense item and description one field at a time.
  • When the employee gives a category that is not on the list, the agent shows the valid options and asks the employee to choose again. It does not guess.
  • Before sending, the agent repeats back the payee, amount, category and description. Only after the employee clearly agrees does the agent send the form.
  • After sending, the agent reads the form back field by field, confirms it has reached the direct manager, and gives the employee the form number.
  • When the manager asks which forms are waiting for sign-off today, the agent finds them and summarises them.
  • When the manager wants to send the form to the administration director for countersigning, the agent looks up that approver. If the search returns more than one person, the agent asks the manager to pick.
  • Before releasing the form, the agent repeats back the form number, the manager's decision and the next approver. Only after the manager confirms does the agent release it.
  • The agent reports what UOF actually returns. When the result is not confirmed, the agent does not send again, so the form is not signed twice.
